Digital Project Manager

Reports to: Project Management Lead

The Digital Project Manager is a well-rounded, digital marketing and website generalist with a passion for problem solving and project organization. You’ll be responsible for managing projects of all sizes from website builds, hosting, web support tickets and CMS training.

\ Responsibilities

  • Lead both large and small technology/web projects that vary in complexity, timelines, and needs with mixed resource teams and clients.
  • Manage the incoming support tickets for web and hosting maintenance.
  • Work with internal teams to help define project scope, resource requirements and cost estimates for projects. 
    • Utilize estimates to hold the team accountable to budget and deadlines. 
    • Be firm but fair in judgment: push back when scope creep or suggested budgets are not realistic whilst understanding the constraints of the client. Be prepared and able to defend position and profit margin internally and externally.
    • Assess change orders & understand how they affect timelines and financial impacts. Communicate adjustments to clients/teams as appropriate.
    • Be commercially aware: At all times have an idea of the status of the budget of the projects; status documents should be updated weekly and any variations from budget accounted for and where possible mitigated before they happen.
  • Be the hub of communication for the project—in regular contact with internal and external partners engaged in delivering our product. 
    • Be a resource for team members for questions and concerns with client requests.
    • Encourage and facilitate collaboration to motivate team members. Set up projects in agency tools to give full visibility but allow the team to collaborate independently.
    • Work with clients to provide the team the information needed to quickly and efficiently keep the work moving forward.
  • Have the ability to break down complex projects into smaller, digestible pieces, while maintaining a holistic understanding of all steps.
    • Ensure project quality and oversee every stage of the work from start to finish and ensure consistent quality and standards are adhered to.
    • Produce realistic timelines with clearly flagged milestones. Demonstrate the ability to deliver projects within timelines. 
    • Understand the key technical aspects of the development process for website delivery, email delivery, online advertising, traditional media, etc. as appropriate to your client.
    • Consistently think through how to make projects as efficient as possible. 
  • Work with client’s third party agencies and suppliers to jointly scope, manage and deliver campaigns when appropriate.
  • Use tools to assign and track issues when appropriate. 
  • Be able to confidently communicate with clients independently and professionally tackle any project issues.
  • Know when to delegate upwards and raise the alarm at the right time, to the right people when issues occur.
  • Be prepared to deep dive on areas outside of the immediate team. This means sharing resources, helping on other accounts, taking part in pitches or managing internal initiatives.

Building and Safeguarding Relationships      

  • Build a partnership relationship with clients; good rapport here is key to success of both the delivery process and account development.
  • Build great relationships with the internal project teams to ensure teams want to work with project management..
  • Be responsible for ensuring that relevant clients and account team members are kept up to date on project developments: changes in timings, costs and any issues arising. Communicate regularly and don’t avoid difficult conversations.
  • Ensure that internal and client sign-offs are obtained on all key project deliverables, and that there is an audit trail to protect if things go wrong.
  • Demonstrate great people management skills, including motivating team members to meet schedule and quality requirements for deliverables, ability to resolve conflicts within the team, ability to get team members from different disciplines to come together as a team, and ability to lead team members to deliver on schedule and within budget constraints in a constructive manner.

\ Qualifications

  • 1-3 or more years of experience in digital project management. 
    • Prefer experience with Asana and Harvest tools
  • Excellent understanding of web technologies such as web, mobile, email, social media, and reporting platforms.
  • Experience in using a wide range of project management tools, budget/time tracking tools, online proofing tools and issue tracking software with the depth of knowledge to recommend the right tools for a project.
  • Experience in an agency environment.
  • Experience with a wide range of CMS and technology such as HubSpot, WordPress, Shopify, WooCommerce, etc.
