Office Manager / Administrative Assistant

Part-time exempt
Reports to: President

Vye (locations in downtown St. Cloud, Minn. and Green Bay, Wis.) is seeking an Office Manager for our St. Cloud office. This position is the “power behind our people,” as the person who provides the tools and support services to ensure our team members are cared for and they have the resources and support to excel in their roles and grow in their areas of expertise. With enthusiasm, flexibility, and an eye for detail, this role keeps our team, and offices, running smoothly and exudes the Vye mission among team members, clients, and partners.


Office and Team Coordination:

  1. Assist with onboarding new team members including scheduling orientation appointments, ordering supplies, and securing resources with Human Resources and Information Technology. 
  2. Maintain new employee checklists and administer employee surveys. 
  3. Ensure reception area, breakroom, and general office are clean, welcoming, and comfortable; manage decor and remodeling as needed.
  4. Oversee reception functions including greeting clients, phone calls, general email accounts, signage for guests, incoming and outgoing mail.
  5. Oversee setup and use of conference rooms; organize, clean, ensure technology needs are met; conference room schedules maintained, and visible for team members.  
  6. Manage inventory and order office supplies, equipment, and shared refreshments. 
  7. Facilitate general maintenance of building and office space.
  8. Manage file storage and regular organization and cleanup of files and folders on shared drives. Ensure company/employee documentation is accessible, organized, and up-to-date. 
  9. Participate in the Culture Task Force; coordinate quarterly team-building events, initiate the celebration of staff birthdays and anniversaries, manage Lunch and Learn schedule and oversee holiday party planning.
  10. Coordinate client gifts and hospitality.
  11. Assist with planning and organizing Vye events.

Executive Leader Support:

  1. Assist with bank deposits.
  2. Coordinate travel arrangements including airfare, hotel, car rental, conference room space, special meals, etc. 
  3. Organize company, leader, and client meetings including scheduling, securing and setting up technology and meeting space, print materials, create and send agendas, order food; take notes and follow up on deliverables as needed. 
  4. Track office equipment and assist with planning capital expenditures.

Minimum Qualifications:

  1. Must possess strong organizational skills, attention to detail, and ability to multitask and prioritize.
  2. Proficiency with Google Drive (slides, docs, sheets), and  Google Drive, Slides, Docs, and Sheets.
